Before show day

Good planning
is part of the experience.

Bring the venue constraints and campaign intent into the same conversation. That is how the activation stays useful for guests and workable for your team.

  1. 01

    Confirm the footprint

Share booth dimensions, exhibitor manual, load-in windows and queue plans. Scope venue footprint, power, internet and load-in before event day; confirm venue services with the organizer.

  2. 02

    Choose the guest action

Decide whether the goal is a branded photo, game, keepsake, coupon or creative conversation. Brand awareness is a possible benefit, not a guaranteed outcome.

  3. 03

Keep photo delivery separate from marketing

If you want leads, scope an optional sign-up with clear purpose, consent wording, requested fields and access. A photo request is not marketing permission; visitors are never auto-subscribed.

  4. 04

    Agree what happens after

Any data export or direct platform integration must be scoped in the proposal. Multi-day activations are supported, certificates of insurance are available and site visits can be requested.

Practical answers

Plan with clarity.

Answers for exhibitors, brand teams, agencies and show planners. Dates and activation details should always be confirmed for your specific event.

How can a photo experience help our trade-show booth stand out?

An interactive, branded experience gives visitors something to do, not just something to look at. A photo, print or motion effect can enhance the visitor experience and keep your branding connected to a personal memory. It can support brand awareness, but it does not guarantee foot traffic, leads or sales.

Which experiences work for exhibitors and consumer brands?

Coupon Booth pairs a branded photo with a tear-off coupon. Play Booth combines a game and photo, with company information or a QR code in the print layout, not a removable coupon. FX Array Booth uses AI for an array-style motion effect. Aura Booth, Scribble Booth and Retro Prints offer other creative directions. The right format depends on your audience, campaign and booth space.

Can we collect email addresses or build an email list?

A campaign can be scoped with an optional sign-up or data-capture step. Decide what information you need, explain its purpose and let visitors choose whether to join your marketing list. The exact collection workflow, consent wording and access to the list should be agreed before the event.

Does requesting a photo also give permission for marketing emails?

No. A request for photo delivery should not be treated as permission to receive marketing. Plan a separate, optional marketing opt-in, identify the brand collecting the information and explain how someone can unsubscribe. Confirm the wording and workflow with your privacy or legal team.

What attendee information should we ask for?

Collect only what your campaign needs. Name, email address and company may be useful, while extra questions can add friction. Agree required versus optional fields, a clear privacy notice, authorized access, retention and deletion before launch. Avoid collecting sensitive information unless it is necessary and appropriately reviewed.

Can the data be exported or sent to our CRM or email platform?

Tell us the fields, export format and destination your team needs while planning the activation. Export access, handoff and any direct integration need to be confirmed in the proposal. Do not assume every CRM or email-platform integration is included.

What space, power and internet will we need at Javits?

Requirements depend on the experience, equipment, printing, backdrop and guest queue. Share your booth dimensions and exhibitor manual so the layout can be reviewed. Confirm power, internet and any required venue services with the organizer or its appointed providers. Keep the activation and its queue within your permitted exhibit area.

How many visitors can participate, and how long does AI take?

Capacity depends on the experience, guest flow, staffing and output. AI timing also depends on the complexity of the creative treatment and workflow. Share your attendance expectations and peak periods so the proposal can address realistic capacity rather than relying on a universal guests-per-hour claim.

How are setup and trade-show load-in handled?

Share the organizer’s move-in and move-out windows, loading instructions, access requirements and booth start time. Setup is coordinated relative to the agreed activation start, not a universal event-start rule. A certificate of insurance is available, and site visits can be requested when useful.

Can Snaptrend support a multi-day show or an agency-led activation?

Multi-day activations are supported. Agency and producer projects can also be scoped with a white-label option, subject to the project requirements. Share dates, staffing needs, brand approvals and organizer restrictions so the team can confirm the scope.

What should be in our creative brief?

Include your show and exhibit dates, booth location and dimensions, audience, brand guidelines, preferred experience and intended call to action. For a coupon, provide the offer and redemption terms. For data capture, include the desired fields, consent requirements and handoff process. Pricing and availability are confirmed by proposal.

How should we measure brand awareness and lead capture?

Choose meaningful measures before the show, such as participation, consented sign-ups, qualified conversations or coupon redemptions where your campaign can track them. Separate photo delivery from marketing opt-ins and evaluate the quality of the follow-up, not only the size of a list. Reporting depends on the agreed workflow.

Is Snaptrend affiliated with these shows or the Javits Center?

No affiliation, endorsement or preferred-vendor status is claimed. This is an independent exhibitor planning guide. Confirm dates, exhibit eligibility and venue rules with each official organizer. Snaptrend activation availability is confirmed separately.
